Will an AP specialist have authority to release payments?
Only if you grant it, and most firms do not. The common setup is that your AP specialist prepares and schedules everything — coded, matched, routed through your approval chain — and a person at your firm releases. Payment authority is a control decision that belongs to you, not to us, and we will not ask you to loosen it to make the seat work.
Can they work in Bill.com and Ramp under our firm's account?
Yes. They work in your instances, under user accounts you provision at the permission level you choose. Software proficiency in Bill.com, Ramp and QuickBooks Online is assessed during screening, and we train to your specific approval workflow before day one.
Can one AP specialist handle payables across several of our clients?
Yes — that is the typical arrangement for a firm rather than a single business. The seat is full-time and exclusive to your firm, so you allocate it across the client book however you like, and you can reallocate as clients come and go. We will pressure-test the volume with you on the discovery call rather than let a seat get quietly overloaded.
What about vendor communication — will vendors deal with them directly?
That is your call. Some firms route all vendor correspondence through the AP specialist, which is where most of the time savings live; others keep vendor contact in-house and hand over only processing. Both work. We set it up the way you decide during onboarding.
